* The mandatory fee is a one-time charge that covers facility usage, conference services, and miscellaneous expenses. This fee is separate from room and board costs.

Note: CBF group members are exempt from the mandatory fee. However, their housing rate is adjusted higher to account for the total cost.

* If you rent linen, an additional $22 will be charged (one-time charge).

How do I pay for the conference?

The total fee will be calculated automatically once you fill out the registration forms. Please complete your payment at the end of the registration via Zeffy, a free payment service.

Note: Zeffy accepts optional tips. To avoid being charged the default 15% tip, select “Other” in the tip section and enter $0 if you do not wish to add a tip. You may pay using a credit card, debit card, or ACH. However, ACH is not recommended, as any refunds (if applicable) may take 2–3 months to process.

REGISTRATION

When does registration close? 

Registration closes at midnight on Monday, July 7th.

If you miss the deadline, a $15 late registration fee will apply, and on-campus housing will no longer be guaranteed. You may need to secure off-campus housing on your own.

 

Can I make edits to my submitted registration form?

Yes, you can edit your submitted registration form using the link that you received through your email, until July 7th.

 

I couldn’t register in advance. Can I still register at the conference site?

Yes, you may still attend and register on-site at the conference, but please note that the registration fee will be higher, and on-campus housing will no longer be guaranteed. You may need to secure off-campus housing on your own.

 

Can I purchase additional meals at the conference site?

Yes, you can pay for the additional meals through Zeffy and dine at the cafeteria.

 

 

ROOMING

Can I choose my roommate?

Yes, you may request a preferred roommate of the same gender on the registration form.

If you are married, you may choose to room with your spouse. Some married couples will have to share a 2x2 suite with another married couple due to limited space (each married couple would have their own bedroom and own bathroom but would share an entrance and living area with another married couple). 

If you have a young child (Ages 3 – 11), one parent must room with the child. Babies (Ages 0 - 2) do not need to be added as a preferred roommate but they do need to be registered using the registration form. Use the “Add Family Member” feature in the registration form to include them.

Youth Group members (Ages 12–18) must provide the name of their preferred roommate. They may choose to room with:

  • Another youth group member
  • A parent (in a standard room)
  • A sibling who is also in the youth group (in a standard room)

Please be sure to communicate with your preferred roommate in advance to ensure you both list each other’s names.

What does the dorm room look like?

The dorms are all suite styles. Most suites are 2x2's (2 bedrooms, containing 2 single beds, with 2 bathrooms and a shared living area). Other suites are either 3x1's (3 separate bedrooms, with a single bed, and a shared bathroom) or 2x1's (2 separate bedrooms, with a single bed, and a shared bathroom). .

Will linens be provided? Or should I bring my own?

Linens can be rented for an additional fee of $22.

If you choose to rent linens, you will be provided a pillow, flat sheet, fitted sheet, blanket, 1 bath towel, 2 hand towels, and 2 washcloths. If you do not choose to rent linens, you will be responsible for bringing all the listed items from home. 

Please note that West Chester University sources the linens from an external company and the quality cannot be ensured.

 

Does the dorm have a laundry facility?

A laundry room is located on each floor. There is no additional cost for laundry use.  Liquid, powder, and pod-style detergent can be used.

 

Do the dorm rooms have kitchen appliances/refrigerators?

The rooms will not have refrigerators, microwaves, ovens, etc. However, there will be a kitchen located in the dormitory for anyone to use. Pots and pans may be borrowed from the front desk during check-in.

 

Does the dorm have a fitness center/gym?

A simple fitness center is located on the second floor of University Hall. It features treadmills and stationary bikes. On Friday, a paid option is available at the Student Recreation Center for those seeking a more comprehensive fitness facility.

 

 

CHILDCARE

Do children need to register?

Yes, parents need to register children by selecting the ‘Add Family Member’ feature on the registration form.

 

Will there be a childcare/daytime program for children?

<Childcare (Ages 3-12)>

The CBF program for children ages 3-12 (including Bible study, messages, and activities) will take place on Thursday evening, Friday morning, and Saturday morning. There will also be a CBF service on Sunday morning before the main Sunday worship service.

​Parents who drop off for the organized CBF program will be asked to serve a childcare rotation to supervise CBF during free play on Friday evening, Saturday evening, and during the Sunday worship service (after the CBF service).

There is no CBF childcare/program in the afternoons. Parents should expect to supervise their children during these times.

<Childcare (Ages 0-2)>

There is no specific program for children under the age of 3. Parents may choose to arrange rotations for childcare among themselves as needed. Parents will also need to bring their diapers, wipes, and snacks as needed for their children. Parents are welcome to bring their toys if they wish.

 

Where will childcare take place?

CBF childcare program (ages 3 - 12) will be held in SECC 101.

There is no childcare program for ages 0 - 2. However, parents may choose to care for their children (ages 0 - 2) at a designated lounge in the dormitory.

 

Are babies and toddlers under a certain age restricted from attending the conference/entering the campus?

No, there is no age restriction. Please be sure to register all children who will be attending.

Children aged 0–2 are free of charge for both lodging and meals. Please note that all young children must be accompanied by an adult at all times.

 

MISC.

Will there be a special offering on Sunday?

There will be no special offering. For regular tithes and offering, please give as you usually do to your home chapter.  

 

Will the conference be streamed online?

We will provide a Zoom link only for the Sunday Worship Service. 

Parents who join the conference on-site but help CBF program or childcare will get Zoom links for all the programs except the symposium.

 

What is the photo release policy?

By selecting "yes" to our photo release question on our registration ("I grant permission and consent to the Washington UBF Media Team the right to edit, alter, copy, and make use of all photos and or videos taken of me to be used in and/or for promotional materials".), you are giving the Washington UBF Media Team the right to edit, alter, copy, and make use of all photos and or videos taken of you to be used in and/or for promotional materials without payment or consideration. This grant of use includes but is not limited to publishing on the Internet and e-mails, magazines, pamphlets, advertisement flyers, and in whatever other manner the Washington UBF Media Team finds useful or for any other lawful purpose.

By selecting "no" to our photo release question on our registration, you are agreeing to be responsible for not participating in any photo taking by the organization and staying muted during recordings.
